REFM8 subscription terms

REFM8 is supplied by Fusilair Ltd, company number 16006669, VAT registration number GB 496 7158 35, of 51 Mays Drive, Westbury, England, BA13 3ZA. Contact admin@fusilair.co.uk about subscriptions, support, exports or these terms. These terms cover the REFM8 business application and subscription, separately from refrigeration or air-conditioning services supplied by Fusilair Ltd.

The person subscribing confirms that they are authorised to act for the subscribing business. Enter an accurate email address and company details, keep login credentials private and give each company member their own account. Your business controls the members, customers and information it adds. Do not use the application unlawfully, interfere with another company's access or upload information you are not entitled to use.

Subscriptions are monthly in GBP. Basic is £19 per month for one company member. Pro is £59 per month for up to five company members in total, including the owner. Enterprise is £19 per month plus £8 per company member, with a minimum of six paid places: £67 per month for six places. Pending staff invitations reserve places; customer contacts do not consume staff places. Prices exclude VAT. The applicable VAT and total are shown before payment in Stripe checkout. Choosing a package or entering details does not itself authorise a charge.

After Stripe confirms a supported subscription payment, the new company workspace is activated automatically. A payment requiring authentication or awaiting confirmation must finish before access starts. Do not pay again while an existing payment is being confirmed; contact us if it cannot be resolved. Subscriptions renew monthly until cancelled. Use company billing to update payment details, view invoices or cancel renewal. Cancellation takes effect at the end of the current paid period. Cancellation does not itself delete company records. Access can be restricted when payment is overdue or the subscription ends, and for security or unlawful use. We will investigate disputed access and payment issues through the contact above.

Your business retains ownership of the records and files it supplies. REFM8 stores and processes them to provide the service, maintain security, recover from faults and meet applicable legal obligations. Company members must check the accuracy of records, calculations, document wording, recipients and signatures. Using REFM8 does not certify engineering competence, regulatory compliance or the accuracy of information supplied by a user. Provider connections require the subscribing company's own authorised connection where supported.

Where your business is the controller of personal data in its workspace, Fusilair Ltd acts as its processor for the REFM8 service. The processing consists of storing, organising, retrieving, transmitting and otherwise handling the information your authorised users add or receive, to provide and support the service. It continues for the service period and any subsequent period needed to return or delete the information. It may include names and contact details, employment and job information, site records, messages, files, photographs and signatures relating to your staff, customers, contacts and other people whose information you add. Your business determines the information submitted and remains responsible for its own lawful instructions and notices.

We will process that personal data only on your documented instructions, including instructions about international transfers, unless UK law requires otherwise; we will tell you before such processing unless the law prevents us. These terms, your authorised use of REFM8 and your written instructions to the contact above are documented instructions. We will tell you if we believe an instruction infringes applicable data protection law. People authorised by us to process the information will be bound by confidentiality obligations, and we will apply appropriate technical and organisational security measures.

You give general written authorisation for us to use subprocessors to provide the service. Relevant providers include Supabase for database, authentication and storage, Vercel for hosting, and Resend where platform email processes your workspace information. We will inform you before adding or replacing a subprocessor so you can object. We will impose appropriate equivalent data-protection obligations on subprocessors and remain responsible to you for their performance. A connection that your business independently authorises with its own provider is subject to your arrangements with that provider.

Taking account of the processing and information available to us, we will assist your business with requests from individuals about their data and with its security, breach notification, impact-assessment and regulator-consultation obligations. We will notify you without undue delay after becoming aware of a personal data breach affecting your workspace information. We will provide information needed to demonstrate compliance and allow and contribute to audits and inspections by your business or its appointed auditor; contact us to arrange an appropriate way to do so.

At the end of the relevant processing service, your business may choose return or deletion of its personal data. We will delete existing copies unless UK law requires their retention. Contact us to arrange the return or deletion and to discuss the scope of any return, retained recovery copies and their handling; cancellation of renewal alone does not give a deletion instruction. We do not claim that all records can be exported through one self-service download or that deletion occurs automatically.

Contact us for help with company data recovery, export or deletion requests. We will explain the scope and exclusions of any prepared export. No guaranteed response time, continuous availability commitment or bespoke integration is included unless separately agreed in writing. Material changes to subscription prices or terms will be communicated before they apply. Nothing in these terms removes rights or responsibilities that cannot lawfully be excluded.
